Pharmacy software for medicine stock and supplier buying

In a drug shop, stock is money with a deadline on it. PesaScope shows you how fast each line actually moves, so the box you buy today is a box you can still sell.

The bulk deal is where drug shops lose money

A supplier offers 200 packs at 8,500 instead of the usual 9,400. It reads like 180,000 saved and it is hard to refuse. What nobody works out on the spot is how many packs the shop sells in a month, and so how long the box must survive.

That sum is the whole business. Sell fifteen a month and 200 packs is a thirteen-month commitment, which most medicines will not make. The discount is real, the loss is larger, and it turns up a year later as stock nobody can sell.

PesaScope answers the question before you agree: how many of this line left the counter last month, and the month before. Every sale takes stock down, so the movement history builds itself while you serve.

How the shop runs on it

  1. Each medicine is its own line, in its own categoryAntibiotics, antimalarials, over-the-counter, consumables, supplements. Categories are what make a report say something rather than list four hundred names.
  2. Deliveries record the cost you paid that dayEnter the supplier and the cost per unit for that load. When a wholesaler's price moves, your margin moves with it.
  3. Supplier credit is tracked as what you oweTake stock now and pay later and it sits as a creditor with a due date. Paying it records the expense too, so it hits the books once, not twice.
  4. Expired stock is written off with a reasonAdjust the quantity down and choose Expired. It is logged with the date and your name, so over six months you see which lines keep dying.

What one supplier deal actually cost

Sold over eleven months — 128 at 12,000UGX 1,536,000
72 packs reached their expiry dateUGX 0
Buying to demand instead — 130 at 9,400− UGX 1,222,000

What the deal cost against buying to demandUGX 478,000

The bulk price lost 164,000; buying to demand made 314,000. The 900 saved per pack was never the number to watch — 128 packs in eleven months was, and that is the number PesaScope keeps.

What PesaScope is not

PesaScope is not a dispensing system. It holds no prescriptions, no patient records and no clinical notes of any kind, and it will not check a dose or flag an interaction. If your regulator or your practice requires those, they stay where they are now.

It also holds no expiry date against a batch, so it cannot warn you that something expires in sixty days. Checking dates on the shelf remains a job for a person with a torch.

What it does is the money and the movement: what sold and at what price, bought from whom at what cost, what you owe the wholesaler, and what expired. That is the half of a drug shop usually kept in a counter book, and the half that decides whether it makes anything.

The detail, if you want it

Questions drug shop owners ask

Does it store prescriptions or patient records?

No. PesaScope has no prescription, patient or clinical records at all, and is not a dispensing system. It records the sale and the money, nothing about treatment.

Will it warn me before a batch expires?

No. No expiry date is held per batch, so the shelf check stays manual. What you get is the write-off history — which lines expired and how often — so you buy differently next time.

Can it tell me how fast a medicine sells?

Yes. Every sale takes stock down against that product, and reports show what sold over any period. That is the figure to hold when a wholesaler offers a box.

How do I track what I owe the wholesaler?

Record the supplier as a creditor with the amount and a due date. Paying it records the expense in the same step.

Some customers take medicine and pay at month end.

Enter what they actually paid. The balance is held against their name as a dated debt, and the ageing report shows how long it has been outstanding.

Can I charge for a blood pressure check?

Yes, as a service with a standard price. PesaScope records the charge, not the reading — there is nowhere to store a clinical result, and a description field is not the place.
