Your costs don't care how many people came
Rent, wages, power and the equipment loan are the same whether forty people train today or a hundred and forty. On UGX 7,400,000 of fixed monthly cost and a UGX 70,000 membership, roughly 106 paying members cover the building before anything else starts to matter.
That makes a gym a renewal business, not a sales business. Joining fees from new members plug the hole left by the ones who quietly stopped coming, so the monthly total can rise while the membership base shrinks. Nobody cancels a gym membership — they simply do not come back.
PesaScope records every membership payment against the member who made it. The list of who paid in March and the list of who paid in April are both there, filterable by date. Comparing them is how churn gets names attached to it. The app will not flag it for you, but it holds the evidence.
How a gym uses it
- Record the payment against the memberMonthly, quarterly or annual, at the price actually paid. A walk-in day pass goes in the same way, without a customer attached.
- Keep personal training separate from membershipPT sessions are their own service line, tagged to the trainer who delivered them, so the two kinds of income never blur together.
- Let commission follow the trainerA commission rule can be a percentage or a fixed amount per session, scoped to personal training only so it never lands on membership money.
- Record the fixed costs every single monthRent, wages, power, water, internet, equipment repair. In a gym these are most of the story, so leaving them out makes every month look fine.
Memberships and sessions to price
Pick "Gym & fitness centre" at sign-up and this list is already there. Memberships and sessions go in as services; drinks and shakes go in as products that come out of stock.
Each membership length is a line of its own, so you can see whether the annual rate buys commitment or just discounts people who would have paid monthly anyway.
A month at a mid-sized gym
Thirty-one people joined this month and monthly memberships still fell from 131 to 118, which means forty-four did not renew. The joining fees made it look like a month of growth. Only the payments, member by member, show what actually happened.
No cards, no turnstile, no attendance
PesaScope does not issue membership cards, scan them, or record who walked through the door. There is no check-in, no attendance log, no barcode wristband and no automatic renewal reminder tied to an expiry date. If you run a card system or a signing-in book at reception, it carries on as it is.
What PesaScope holds is the money: who paid, how much, for which membership, on what date, and what each trainer brought in. The door already has a human watching it; what nobody can answer is what last month's renewal rate was, or which trainer's clients keep coming back.
It does mean a lapsed member is found by looking rather than by being told. With every payment recorded against a name, that is a five-minute job at the start of each month. Without it, it is not a job at all — it is a surprise in December.
Where a gym loses money
- Renewals that quietly stopCompare this month's payers with last month's and the people who left have names and phone numbers, while there is still a chance of getting them back.
- The rate nobody wrote downCorporate rates, student rates, the friend-of-a-friend rate. Record the price actually paid and the month's average tells you what discounting really costs.
- Trainer sessions kept off the booksA trainer paid directly by the client uses your floor, your equipment and your power for nothing. Every session recorded is a session you can price.
- Repairs paid from the drawerA treadmill belt and a call-out fee paid in cash and never entered turn an ordinary month into an unexplained one.

Questions gym owners ask
Does it print or scan membership cards?
No. PesaScope has no membership-card system, no barcode scanning at the door and no turnstile integration. It records the payment and who made it.
Can it track who came to the gym today?
No. There is no check-in or attendance log. If you need a record of who trained, keep the signing-in book — PesaScope covers the money, not the door.
Will it remind a member their membership is due?
There is no automatic renewal reminder tied to an expiry date. You can pull who paid last month, compare with this month, and follow up the difference yourself.
Can I see what each trainer brought in?
Yes. Every session is tagged to the trainer who delivered it, so earnings over any period can be pulled out — which is what most gyms use for commission.
Can I charge corporate or student members a different rate?
Yes — record the price actually charged. There is no rate-card feature, but every payment carries its own amount, so the month's average tells you what the special rates cost.
Do I need a computer at reception?
No, a phone is enough. It does need a connection to record — the separate POS till app is the part that works offline.
Can reception record payments without seeing my profit?
Yes. Staff logins record sales and services while reports stay with the owner.
