The point is speed at the counter

A sale that takes a minute to record does not get recorded. Whoever is at the counter has a queue in front of them, and the book loses to the queue every time.

So the sale screen is built around picking an item, confirming an amount, and choosing how it was paid. Everything else — branch, staff member, date, stock movement — is filled in from who is signed in and what was sold.

That's the whole design brief: fast enough that it happens during the sale rather than at closing time, when half of it is already forgotten.

What one sale does

  1. Takes the payment as it really happenedCash, Mobile Money, bank, or a mix across one sale. A customer paying half cash and half MoMo is one sale with two tenders, not two sales.
  2. Moves the stockQuantities come off the shelf count as you save, so what the app says you have is what you have.
  3. Records who sold itAttached to the staff member and the branch, so takings per person and per shop are answerable without asking anyone.
  4. Handles credit properlyIf they've paid part, record part. The balance is held against their name with a date, and shows up on the debtors list until it clears.

Margin, not just turnover

A sales total tells you how busy you were, not whether you made money. PesaScope stores a buying price against each product, so every sale carries its cost with it.

That's what turns "we did four million this month" into "we kept six hundred thousand" — and what makes the best-seller list useful, because the item that moves most is often not the item that earns most.

The credit line is the one worth watching. It counts as a sale, but it is not money you have — the debtors list keeps the two separate.

Things that trip shops up, handled

  1. Selling with no internetSales record on the phone and sync when data comes back. A dead network doesn't stop the counter.
  2. Selling more than you haveStock is checked as you sell. You can set this to warn instead of block if your counts are still catching up.

Questions about sales

Can one sale have several items?

Yes — as many lines as you need, with a single payment across the lot.

Can a customer split payment between cash and Mobile Money?

Yes. One sale can carry several tenders, and the reports count each channel separately rather than lumping it as "mixed".

Does it work without internet?

The main app needs a connection to record. The separate POS till app keeps selling offline, saves on the device, and syncs to your books once you are back online.

Can I stop staff from selling below a price?

Staff can be restricted from editing prices, and every sale records who made it, so unusual discounts are visible after the fact.

Do I need a printer?

No. Receipts can be printed if you have a thermal printer, or shared to the customer's phone. Neither is required to record the sale.

What if I sell something not on my product list?

You can add it while recording, with its price, and it's on the list from then on.
