For paint & finishes stores

Paint shop software for tin sizes, tinting and contractor credit

Your stock is the same paint in four tin sizes and forty shades, and half of it leaves with a contractor who pays when his client pays him. PesaScope counts the tins and keeps the account behind each contractor.

Paint is not one product

Twenty litres of white emulsion and four litres of the same emulsion are two different businesses. The big tin carries a bigger margin in shillings and a thinner one in percentage; the small one sells to a walk-in paying cash. Counted together they describe nothing you sell.

Then there is colour. Once a base tin is tinted it becomes one customer's paint. If he never comes back, you hold a tin nobody else will pay full price for — a cost that never reaches a cashbook, because it looks like stock until you write it off.

PesaScope holds each tin size as its own product with its own cost, price and count, and takes a tinted tin off the shelf as a named loss.

How an order actually goes

  1. Sell the base by tin sizeEmulsion 20L, emulsion 4L and gloss 4L are separate lines with separate prices, and the count moves on the tin that left.
  2. Charge the tinting as a serviceColour mixing has a standard price you can raise for a difficult shade, and no stock count of its own.
  3. Take part payment from the contractorEnter what he handed over. The rest stays against his name, with every tin taken and every shilling paid, in date order.
  4. Print the statement before the next jobA dated statement of purchases, payments and running balance ends the argument before you tint twenty more litres on trust.

The list you will set up

Pick "Paint & finishes shop" at sign-up and this list is already there. Paint, Preparation and Tools, one line per tin size.

Emulsion 20L Emulsion 4L Gloss enamel 4L Primer / undercoat 4L Wood varnish 1L Thinner 5L Brushes & rollers Tinting & colour mixing

A line per tin size, not per shade. Sizes are what you buy, count and run out of.

A month, with the tins nobody collected

Emulsion 20L — 38 tins at 210,000UGX 7,980,000
Emulsion 20L — bought at 178,000− UGX 6,764,000
Gloss 4L — 60 tins at 62,000UGX 3,720,000
Gloss 4L — bought at 51,000− UGX 3,060,000
Tinting charged, less colourantUGX 770,000
Three tinted tins never collected− UGX 280,000
Rent, power, two staff (month)− UGX 1,600,000
Kept this monthUGX 766,000

Tinting looks like a favour, and it earned 770,000 — more than sixty tins of gloss. Three tins nobody collected took back over a third of it.

What PesaScope does not do here

It does not hold your colour formulas. There is no field for the colourant recipe behind a shade and no link to a tinting machine, so the formula stays where it is now. PesaScope records that tinting was done and what you charged.

It does not track a tin by batch or serial number either, so it cannot say which tin from which delivery went to which site. It counts by product line.

There is an optional production module for businesses that genuinely manufacture — recipes, materials, batch costs — and it stays off unless you turn it on. Unless you blend your own paint, leave it off.

Where the money leaks

  1. Credit given on a handshakeA contractor working three sites is one balance, not three memories. What he did not pay is on his account.
  2. Tinted tins written off silentlyTake them off with an adjustment and a reason. Once a month of them is visible, you can decide about deposits.
  3. Deposits spent before the jobAn advance sits on his account and is used against his next collection, not the day's takings.
  4. Stock stranded at the wrong outletWith more than one shop, each branch holds its own count and moving tins is a transfer.

The detail, if you want it

Questions paint sellers ask

Does it store my tint formulas?

No. There is no colour recipe field and no link to a tinting machine. It records the tinting charge and the tin sold.

Should I set up a product for every shade?

No. Use a line per base and tin size, and treat the shade as the tinting service. Hundreds of colour lines make the stock list unusable.

Can I track what each contractor owes me?

Yes. Whatever is unpaid stays against that customer, and their profile carries dated purchases and payments with a running balance.

Can I take a deposit before mixing a special colour?

Yes. Record it against the customer and it is applied when they collect. The balance cannot go negative.

How do I write off a tin nobody collected?

As a stock adjustment with a reason such as Damaged or Correction, logged with your name and the date.

Can I see what my stock is actually worth?

Yes. Stock on hand shows every line with its quantity and value at cost, and exports to PDF or Excel.
