Purchases

Record what you buy from your suppliers — stock, materials or supplies. A purchase brings the goods into stock at the right cost and, if you didn't pay in full, records the balance as money you owe.

What purchases do

A purchase does three things at once: it stocks goods in, it updates the item's cost price (so your profit reports are accurate), and it records how you paid. It's the counterpart to a sale — money and goods going out becomes money and goods coming in.

Record a purchase

  1. Open Money Out → Record Purchase.
  2. Pick the supplier (or quick-add a new one — see Suppliers). Their current balance owed is shown.
  3. Add each line: the item, quantity, the buying unit and price. If you buy in a different unit than you sell (e.g. a bag that holds 50 kg), set the conversion so stock is counted correctly.
  4. Check the stock preview — how many units this adds and at what cost.
  5. Optionally add an invoice / reference number and a due date.
Weighted-average cost When new stock arrives at a different price, PesaScope blends it into a weighted-average cost — so margins reflect what you actually paid, not just the last price.

Paying: cash or credit

  • Paid in full (Cash, Mobile Money, Bank) — nothing left owing.
  • Part-paid or on credit — enter the amount paid now; the balance is automatically raised as a payable against that supplier and appears under Who Owes / I Owe → Creditors (I owe).

Purchases history

Open Money Out → Purchases History to see every purchase — filter by supplier or date, open one to see its lines and payment, and settle an outstanding balance when you pay it.
