Sales & Services
Everything under Sell: record a product sale, log a service job, take payment, and review your history. Every sale keeps your books, your stock and your reports in sync. Serving a busy counter? Use the Point of Sale instead — it's a separate, touch-friendly till.
On this page
Record a sale
- Open Sell → Record a Sale.
- Confirm the branch and employee making the sale.
- Add a customer (optional — needed for receipts, loyalty and credit) or leave as Walk-in.
- Under What did you sell? pick each product, set the quantity and check the unit price. Use + new product to add one on the spot.
- Choose how you were paid under How were you paid? — a single method, or Split across two.
- Click Record sale, or Record & send receipt to share it straight away.
Record a service
For jobs rather than products — mechanics, salons, repair shops, consultants — use Sell → Record a Service. A service record captures the work done, any parts used (parts deduct from stock), notes for next time, and payment.
- Open Sell → Record a Service.
- Pick the customer (or add a new one — name and phone).
- Add each service performed and any parts used.
- Add notes about the job.
- Take payment now or leave it on credit, then Save.
The customer's full service history then lives on their profile — every job, every part, every payment.
Payment methods
Choose the method that matches how the customer paid:
- Cash — physical money handed over.
- Mobile Money — MTN MoMo, Airtel Money, M-Pesa.
- Card — Visa, Mastercard.
- Bank transfer — paid into your bank account.
- Credit / Advance — not paid in full yet. The balance is added to the customer's debt — see Who Owes / I Owe.
Reports break income down by method so you can reconcile your cash drawer or mobile-money statement at the end of the day.
Partial & credit sales
When a customer pays only part now and the rest later:
- Build the sale as usual and pick the customer (required for credit — we need to know who owes you).
- Enter the amount paid now (less than the total) and its payment method.
- Save. The unpaid balance becomes a debt against that customer, ready to collect later.
Print or share the receipt
After saving, the receipt is ready to Print, save as PDF, send by WhatsApp, or Email (if the customer has an email on file).
Sales history
Open Sell → Sales History to see every sale recorded.
- Filter by date range, branch, staff, customer or payment method.
- Open any sale to view or reprint its receipt.
- Export the filtered view for your accounting.
Service history
Open Sell → Service History for the equivalent ledger of every service job — filter, open a record to see parts and notes, and reprint.
Refunds & corrections
- Open Sell → Sales History and find the sale.
- Choose Refund (full) or Edit (correction).
- Confirm. Stock is added back, payment is reversed, and the original is marked accordingly.
