PesaScope Pro

Pro adds the tools service businesses, contractors and firms need to look professional and get paid faster — quotations, branded invoices and receipts, project profitability, VAT returns, purchases, automatic reminders and receivables reports.

Is this you? Pro is for businesses that send quotes and invoices rather than just ring up over-the-counter sales. If you only need a till and daily takings, the standard plan already has you covered.

Turning on Pro

Pro is a feature tier on top of your subscription. Once a business is on Pro, the extra menus (Quotes, Invoices, Projects, VAT, Purchases, Reminders and the Pro dashboard) appear in the sidebar.

  1. Open Settings → Subscription (or the Upgrade banner).
  2. Choose PesaScope Pro and complete payment.
  3. The Pro features unlock immediately for that business.
Free allowance Businesses not on Pro can still try a limited number of quotes and invoices. Once you reach the free document cap, you'll be prompted to upgrade to keep creating them. See Subscriptions & billing.

Organization & branding

Before you send your first document, set up your business identity so every quote, invoice and receipt looks professional.

  1. Open Organization.
  2. Enter your legal & trading name, address and tax / VAT numbers.
  3. Add your bank details and mobile-money details so customers know how to pay.
  4. Upload your logo and pick a brand colour.

These details appear automatically on every Pro document, along with a QR code carrying the document number.

Quotations

A quotation is a priced offer you send before doing the work. Open Quotes → New Quote.

  1. Pick the customer (and a project, if relevant).
  2. Add line items. As well as simple quantities you can price by measurement — square metre, linear metre or cubic metre — by entering width, height and depth.
  3. Choose whether prices are VAT-inclusive.
  4. Save as Draft, then mark Sent when you deliver it.

Track each quote as it moves through Draft → Sent → Accepted / Rejected / Expired. When a customer accepts, convert it straight to an invoice (see below).

Invoices & payments

Create an invoice from scratch (Invoices → New Invoice) or from an accepted quote.

  1. To convert a quote, open it and tap Create Invoice. For phased work you can invoice a percentage of the quote at each milestone.
  2. Send the invoice to the customer; its status moves to Sent.
  3. When money comes in, tap Record Payment and enter the amount. Partial payments are supported — the balance updates and the status becomes Partially paid then Paid.

Unpaid invoices past their due date are flagged Overdue automatically and feed the receivables reports and reminders.

Receipts

Issue a receipt to confirm a payment, either standalone or linked to an invoice. Receipts are branded the same way and can be downloaded or shared with the customer.

Sending & sharing documents

Every quote, invoice and receipt can be delivered three ways:

  • Download PDF — a branded PDF you can save or print.
  • Email — sends the PDF attached, with a short message.
  • WhatsApp — generates a share link so you can send the document in chat.

Each document carries an automatic number per year (for example QUO-2026-0001, INV-2026-0042, RCP-2026-0003), and the channel you used is logged against the document.

Projects

Use Projects to group everything for a single job — a construction site, an office fit-out, a consulting engagement.

  1. Create a project with a name, customer, location, dates and a budget.
  2. Link quotes, invoices and purchases to it as you go.
  3. Open the project's summary to see invoiced vs. spent and the profit margin.
  4. Move the status through Active → On hold / Completed / Cancelled.

VAT returns

For VAT-registered businesses, VAT works out your position for any period without manual spreadsheets.

  • Output VAT — VAT charged on the invoices you issued.
  • Input VAT — VAT you paid on expenses (reclaimable).
  • Net payable — output minus input. Positive means you owe the authority; negative means a refund is due.
  1. Pick the period to see a live summary.
  2. Tap File Return to lock it in. Filed returns are kept with the date and who filed them, so you always have a record.

Purchases & suppliers

Track what you buy and who you buy it from.

  1. Add a supplier under Suppliers with their contact, payment terms and tax code.
  2. Record a purchase under Purchases as a draft, attach the supplier's invoice or PO, then submit it.
  3. Record payments to the supplier as you settle the bill, including partial payments and discounts.

Outstanding supplier balances feed into what you owe (creditors).

Payment reminders

Stop chasing customers by hand. Under Reminders you decide when PesaScope emails an invoice automatically.

  1. Turn reminders on.
  2. Set the day offsets relative to the due date — for example 3 days before, 1 day after, 7 days after.
  3. That's it. The daily scheduler emails each customer their invoice PDF at the right time.
No nagging twice A reminder is never sent twice for the same invoice and offset. You can also view a log of everything that's been sent, or trigger a run manually for testing.

Pro reports & statements

The Pro plan adds reports focused on getting paid:

  • Pro dashboard — your quote pipeline and conversion rate, total invoiced vs. collected, outstanding and overdue amounts, and a 6-month trend.
  • AR aging — outstanding invoices bucketed by how overdue they are (current, 1–30, 31–60, 61–90, 90+ days), grouped by customer.
  • Income summary — invoiced, collected and outstanding totals for any period.
  • Customer statements — a per-customer history of invoices and payments.

Every one of these can be exported to PDF to print, email or file.
